Step 1 - Initial Contact
The first step of the process requires you to get in touch, so we can have a friendly chat. This is for us to get an overview of why you need a vet to certify your products. At this stage we will acquire knowledge about the product you want to send, and to which country; whether it's your first time exporting goods to non-EU countries, or you have been looking to develop a new market, or simply you would like to make improvements to your exports process. Step 2 - Preliminary Report
It is essential that we have a firm grasp of your business profile and your needs. Creating a preliminary report allows us to study the required specimen certificate and notes for guidance, advise what import permits or support document it may be needed. This report also is an important tool in tailoring the cost to fulfil your provisions. Regardless of whether the export goes ahead or not, we do not charge for this report.
Step 3 - Proposal Letter
It is important for both of us that we operate in a completely transparent manner. Step 3 involves us producing an offer letter based on the preliminary report. This will make things clear on how we can provide your company with an excellent service within the means of your budget.
Step 4 - Application
The exporting company makes the application to APHA for the certificate. For most countries, an electronic pdf of the EHC and an application form is submitted by email to APHA. The current application system is expected to be moved to the EHC Online that will allow exporters to fully apply, complete and submit their EHC online. At this moment for USA, a 'pre-certificate' and application are sent to the certifier to sign first, before submitting to APHA. In addition, for some other countries such as Hong Kong, Canada, Chile, etc., the applications are submitted through TRACES (Trade Control and Export System's) online platform. We can support you with the whole application process.
Step 5 - Support Documentation
Many Export Health Certificates have different requirements that can be certified based on different additional documentation such as lab test results, production process declaration, HACCP plan, internal movements certificates (IMCs), required methods of operations procedures (RMOPs), and Import permit. To avoid any disruptions of your export certification we will check the necessary support documents before the actual loading.
Step 6 - Vet Inspection
One of our OVs will visit the dispatching premises at a mutually agreeable time to inspect the goods. The OV will carry on a container inspection; will check the temperature of the product, verify the stock releasing list, examine the labels, inspect the integrity of the boxes, and make sure the container is correctly loaded (not over the limit red line to assure a correct air flow) . Once the OV is satisfied with the inspection, they will seal the container and will complete the certificate.
Step 7 - Certification
The vet will complete, sign and stamp the export health certificate. Once the certificate is approved by your customer from the importing country, we will post the original to you so you can export your product.
